PTA Board Meeting Minutes - September 6, 2011

Minutes Approval

Sandy asked if there was a motion to approve the minutes from the July 25 meeting. Mrs. Holmes motioned to have the minutes approved and Mary seconded the motion. After a vote, the motion was approved.
Anna-Lisa was asked to put the meeting minutes, along with a thank you note from Mrs. Amick, on the website.

PTA Operations Report

Newsletter

Beth reported that all updates, events, and announcements for the newsletter are due to her by September 7. Tom reported on the positive feedback he received regarding the newsletter.

Membership Update

Diane is in the process of compiling incoming membership information.  Membership forms and dues continue arrive.  Diane reported that KAH will advertise 2 pages in the directory.  Diane agreed to e-mail current teacher PTA membership status to Mrs. Holmes.

PTA General Meeting

The first general PTA meeting of year is scheduled for October 4. The Curriculum 2.0 will be discussed and Mrs. Holmes will be available to answer questions.  Beth will send out e-list message asking for questions ahead of time. The PTA will provide hospitality during the meeting.

School Affairs Report

Spirit Wear

Sandy reported the Spirit Wear committee is still working on the student shirts.   
Sandy proposed that teachers who join the PTA will receive a polo shirt. Christina suggested we also provide shirts to staff that are not required to join the PTA.  Mrs. Holmes will verify the exact number of staff. The shirt tagline is also changed to “Established in 1967”. Mary moved to approve the motion and Beth seconded. The motion was approved by majority vote.
The board voted on the teacher shirt logo and the one with the words on the top and the bottom of the sunflower won the vote.
Beth suggested using Cafépress.com at a later date with fundraiser.  The PTA could upload the spirit wear logo to the site and people could purchase merchandise .  This topic will be discussed at the next spirit wear meeting.

Back to School Night – 13/14

It was decided there will not be a membership table at Back to School Night.
Mrs. Holmes described what will happen on back to school night.

  • 6:00-6:40-Everyone starts out in all purpose room.  10 minute break transition time.
  • 6:50-7:20 – Grade level presentations.
  • 7:20-7:30 Transition
  • 7:30-8:00 Individual classrooms.

Grades 3-5 will attend the Tuesday night session. Grades K-2 will attend the Wednesday night session.
Joan asked if KAH will have child care. Sandy will ask Jose and try to work out a space with Mrs. Holmes assistance.
The school is sending home a flyer about Back to School Night on Friday. They will put the text “Limited child care available” at bottom of flyer.

After School Art Class

Sandy received an e-mail asking to reinstate the after school art class.  Tracy Davidson volunteered to be the liaison. Sandy will contact Tracy to ensure someone will be available each class to escort children before the board votes.

Manna Canned Food Drive

The Manna food drive was discussed. It is thought this may be an activity for the SGA. Mrs. Hauprich will find out if a teacher SGA representative will lead the food drive.

Ways and Means Report

Read-a-thon

Read-a-thon begins September 19.  Flyers will be available at the Back to School Picnic. Sandy will speak at Back to School Night to welcome parents and will mention the Read-a-thon. A flyer with important dates will go home in children’s backpacks.
October 6 is last day of the Read-a-thon and the whole school is reserved for that evening.  Due to the PTA meeting the same week, a vote was taken to decide whether or not to change the dates. The board voted to keep the dates as they are.
There will be weekly prizes. The grand prize is $25 for use at the book fair. Teachers will also receive gifts for having the top readers and the top fundraisers.
Volunteers have been recruited from each grade to tabulate minutes. The expectation is each student will read 20 minutes per day in grades K-2.
Mrs. Hauprich is donating a Barnes and Nobel gift card as a prize.
Mrs. Holmes will donate half a Nook to Read-a-thon as a prize.

Fall Book Fair

Still need a chair person. Beth and Christina offered to begin preparations for book fair until a chair person is found.

Programs Report

Mary reported there Rockville High School has a conflict with the date of International Night and FVES needs to reschedule.

Back to School Picnic

The Back to School Picnic will occur rain or shine. The picnic will have the following:

  • Papa Johns pizza.
  • Carmen’s Ice
  • KAH moon bounce and popcorn maker

Setup begins at 5:30 and KAH is reserved until 8:00. Helen reserved the all-purpose room in case of rain.
Flyers in will go home with children tomorrow.
Beth suggested that next year we include the McGruff Crime Dog - Identify a Kid program. The program is free and parents can have their kid’s finger printed and picture taken (possibly a DNA sample taken). PTA will also look to use the program at carnival time.

Bingo Night

Joan reported the license needs to be obtained 30 days in advance of the event. Joan has a conflict needs someone to help with October date.

Budget

Beth suggested revising the budget for carnival. Mary will update budget for actuals. Christina reported Heather estimates a $500 profit for the cook book.

Principal’s Report

Mrs. Holmes reports that Grandparent’s day will include a table with refreshments and a photographer. The first 50 minutes will take place in the all-purpose room and will include a skit and poem. Grandparents will visit classes from 10-11.
Mrs. Holmes reports that enrollment continues to grow. She also discussed the agenda for Back to School Night, the new curriculum updates, and requested the PTA solicit parents ahead of October PTA meeting for questions.
